2. Information We Collect

West Industries collects personal information through a variety of channels and for a variety of operational purposes. The categories of information we collect are described in detail below. We do not collect more personal information than is reasonably necessary for the purposes described in this Policy.

2a. Website Visitors

When you visit our Website at https://west-industries.com/, our servers and integrated analytics tools automatically collect certain technical and behavioral data about your visit. This information is collected passively through standard web server logs and analytics instrumentation and includes:

  • IP addresses — the numeric address assigned to your device by your internet service provider at the time of your visit, used for geographic attribution, security monitoring, and fraud prevention;
  • Browser type and version — the name and version of the web browser application you are using (e.g., Chrome 128, Firefox 120), which assists us in rendering and optimizing page content;
  • Operating system — the platform running on your device (e.g., Windows 11, macOS Sequoia, iOS 18), used to ensure compatibility and diagnose display issues;
  • Pages visited — the specific URLs within our Website that you navigate to during a session, including the sequence and duration of page views;
  • Referral URLs — the external web address from which you arrived at our Website, such as a search engine results page or a hyperlink on a third-party site;
  • Session duration — the total length of time you spend on the Website and on individual pages during a single visit;
  • Device identifiers — anonymized or pseudonymous identifiers associated with your device, browser instance, or user session as assigned by analytics platforms.

This information is used in aggregate and pseudonymous form to understand how our Website is being used, to improve content and navigation, to detect anomalous activity, and to support legitimate security operations. Where required by applicable law, collection of certain identifiers is subject to cookie consent as described in Section 5.

2b. Contact Form Submissions

Our Website includes contact forms through which visitors may submit inquiries, request information about our services, or initiate a business relationship. When you complete and submit a contact form, we collect the information you voluntarily provide, which may include:

  • Full name — your first and last name as entered in the form;
  • Email address — a business or personal email address at which you wish to receive our response;
  • Phone number — a contact telephone number, if provided;
  • Company name — the name of the organization you represent, if applicable;
  • Message content — the body text of your inquiry, which may contain any information you choose to share;
  • Submission timestamp — the date and time at which the form was submitted, recorded automatically by our systems.

We use this information solely to respond to your inquiry, assess whether a business relationship is appropriate, and, if applicable, route your inquiry to the correct internal team. We do not use contact form submission data for unsolicited marketing communications.

2c. Manufacturing Client Communications

In the course of providing manufacturing services and fulfilling contracts with our business clients, West Industries collects and processes personal information pertaining to individuals who are authorized representatives, points of contact, or otherwise involved in the client relationship. This information is collected through direct communications, contractual documentation, and project management workflows, and may include:

  • Business contact information — names, job titles, direct telephone numbers, business email addresses, and mailing addresses of client-side contacts;
  • Project and order details — specifications, schedules, purchase order numbers, delivery instructions, and technical documentation related to manufacturing engagements;
  • Contractual data — signed agreements, statements of work, amendments, payment terms, and related legal documentation, which may contain the personal information of signatories;
  • Correspondence records — emails, letters, meeting notes, and other records of communications between West Industries personnel and client representatives over the course of a project or relationship.

This information is collected and processed as a necessary component of fulfilling our contractual obligations to our clients and managing our ongoing business relationships. The legal basis for processing this category of data is primarily contractual necessity, as further described in Section 4.

2d. Device & Application Telemetry

West Industries operates connected device systems and monitoring platforms in connection with manufacturing equipment and industrial applications. Through these systems, we may collect operational data that, in some instances, may constitute or be associated with personal data. Telemetry data collected from connected equipment and applications may include:

  • Connected device identifiers — unique hardware or software identifiers assigned to individual equipment units, terminals, or networked devices within client or internal infrastructure;
  • Firmware version — the version of embedded software currently installed on a connected device, used for update management and compatibility diagnostics;
  • Operational status — real-time and logged states of equipment, including active, idle, standby, fault, and shutdown conditions;
  • Error logs — timestamped records of system faults, exceptions, and diagnostic events generated by connected equipment;
  • Usage metrics — quantitative data reflecting how and how frequently a device or application feature is being used;
  • Uptime data — records of operational continuity, downtime events, and restart cycles for monitored equipment;
  • Sensor readings — data outputs from physical sensors embedded in manufacturing equipment, which may include temperature, pressure, flow rate, vibration, and similar industrial measurements.

To the extent that telemetry data is linked to identifiable individuals (for example, through a device account, operator profile, or persistent identifier attributable to a specific person), such data is treated as personal data under this Policy. Where telemetry data is fully aggregated and non-attributable, it is not considered personal data but is nonetheless handled with appropriate care.

2e. SMS & Alert Systems

West Industries operates SMS-based notification and alert systems to communicate operational updates, service alerts, and status notifications to authorized personnel and opted-in contacts. In connection with these systems, we collect and maintain:

  • Mobile phone numbers — the telephone numbers provided by individuals when opting in to receive SMS communications from West Industries;
  • Alert preferences — settings and configurations specifying the type, frequency, and conditions under which an individual wishes to receive SMS notifications;
  • Opt-in and opt-out records — timestamped records of when an individual subscribed to or unsubscribed from our SMS communications, including the method by which opt-in or opt-out was recorded;
  • Message delivery logs — system records indicating whether a given message was delivered, failed, or was otherwise not received, as reported by our SMS gateway provider.

Participation in our SMS alert system is entirely voluntary. We do not use SMS as a channel for unsolicited marketing communications. The collection and use of SMS data is governed by our SMS terms and the opt-out rights described in Section 9c.

2f. Cookies & Tracking Technologies

Our Website uses cookies and related tracking technologies to support core website functionality, remember your preferences, and analyze how our Website is used. A full description of the types of cookies we use and your choices regarding them is provided in Section 5 of this Policy. In summary, the tracking technologies we may deploy include:

  • Session cookies — temporary cookies stored in your browser memory for the duration of a visit, which expire when you close your browser;
  • Persistent cookies — cookies stored on your device for a defined period of time beyond a single session, used to remember preferences and recognize returning visitors;
  • Pixel tags and web beacons — small graphic elements or code snippets embedded in webpages or communications that signal when content has been accessed or loaded;
  • Local storage — browser-based storage mechanisms that allow certain data to be retained on your device outside of traditional cookie files.

2g. Analytics Data

We use third-party analytics platforms, including Google Analytics, to collect aggregated and pseudonymous data about how visitors interact with our Website. Analytics data collected through these platforms may include:

  • Aggregated traffic data — total page views, unique visitor counts, session volumes, and traffic trends over time;
  • Conversion events — tracked user actions deemed significant for business purposes, such as form submissions or clicks on specific elements;
  • Click paths — the sequence of pages and elements visited by a user during a session, used to understand navigation behavior;
  • Form interaction events — data indicating whether a user began, partially completed, or abandoned a form, collected to identify usability issues.

Analytics data is primarily used in aggregated form for internal reporting and website optimization. Where analytics data is tied to a persistent pseudonymous identifier, it is treated as personal data. See Section 5 for information on opting out of analytics tracking.

2h. Internal IT Workflows

In operating and securing our internal information technology environment, West Industries collects and processes certain categories of data related to employee accounts and system usage. This data is used exclusively for IT administration, security monitoring, and compliance purposes, and is not disclosed to third parties except as required by law or described herein. This category includes:

  • Employee account data — usernames, email addresses, assigned roles, and access credentials associated with West Industries internal systems and software platforms;
  • System access logs — records of logins, authentication events, session durations, and actions taken within internal systems by authorized users;
  • Network activity logs — records of network traffic, connection events, and data transfers within the West Industries internal network, retained for the purpose of detecting and investigating unauthorized access, data loss, or security incidents.

Internal IT data is processed pursuant to our legitimate business interests in maintaining the security, integrity, and continuity of our information systems, as well as our obligations under applicable law.

3. How We Use Your Information

West Industries uses the personal information we collect for specific, documented, and legitimate business purposes. We do not use personal information for purposes that are incompatible with the purpose for which it was originally collected without first obtaining your consent or otherwise establishing a lawful basis for the new use. The following describes the purposes for which we process personal information:

Website Operation and Improvement. We use website visitor data, analytics data, and cookie-related data to operate the Website, ensure its technical functionality, diagnose errors, improve page content and navigation, and understand how visitors engage with our online presence. This includes generating internal performance reports, testing new website features, and optimizing load speeds and usability across device types.

Responding to Inquiries and Communications. When you submit a contact form, send an email, or otherwise initiate a communication with West Industries, we use the information you provide to understand your inquiry, route it to the appropriate internal personnel, and provide a timely and relevant response. We may also retain records of these communications to document our interaction history.

Fulfilling Manufacturing Contracts and Client Engagements. Personal information collected from and about manufacturing clients and their representatives is used to perform our contractual obligations, manage project timelines, coordinate deliveries, issue invoices, and maintain accurate records of our business relationships. This processing is necessary to deliver the services our clients have engaged us to provide.

Device Monitoring and Diagnostics. Telemetry data collected from connected devices and manufacturing equipment is used to monitor operational status, detect anomalies and faults, perform remote diagnostics, push firmware updates, and ensure the continued safe and efficient operation of equipment under our management or connected to our platforms.

SMS Operational Alerts. We use the mobile phone numbers and alert preferences collected through our SMS system to send targeted operational notifications and alerts to opted-in contacts. Messages may include equipment status alerts, system notifications, maintenance reminders, and service updates relevant to the recipient’s role or subscription profile.

Analytics and Optimization. Aggregated and pseudonymous analytics data is used to measure the effectiveness of our Website, identify trends in visitor behavior, and make data-informed decisions about our online presence and marketing efforts. We use this information to improve the quality of our content, refine our service offerings, and allocate resources appropriately.

Legal Compliance. We process personal information as necessary to comply with our obligations under applicable federal, state, and international law, including but not limited to tax and financial reporting requirements, employment law, data protection regulations, export control laws, and any legal process or governmental inquiry to which we are subject.

Security Monitoring and Fraud Prevention. We use IP address data, system access logs, network activity logs, and related information to detect, investigate, and respond to unauthorized access attempts, data breaches, fraud, and other security incidents affecting our Website, internal systems, or connected device infrastructure.

Internal IT Administration. Employee account data and system access logs are used by our IT department and authorized administrators to manage user accounts, provision and de-provision access, perform software updates, maintain system integrity, and support internal help desk and support functions.

We require TLS 1.2 or higher for all encrypted connections and regularly review our cipher configurations to maintain alignment with current security best practices.

All such vendors are required to execute data processing agreements consistent with applicable law.

In complex cases, we may extend this period by a further two months, in which case we will notify you within the initial 30-day period and explain the reason for the extension. We will respond at no charge, unless requests are manifestly unfounded, excessive, or repetitive.

9c. SMS Opt-Out

If you have opted in to receive SMS notifications or operational alerts from West Industries, you may opt out of future SMS messages at any time by replying STOP to any SMS message you receive from us. Upon receipt of a STOP message, West Industries will cease sending SMS communications to your mobile number, subject to processing time that may result in receipt of one additional message confirming your opt-out. Message and data rates may apply based on your mobile carrier’s plan.

If you wish to re-subscribe to SMS communications after opting out, you may do so by following the opt-in process originally used to subscribe, or by contacting us at info@west-industries.com. We maintain a record of all opt-in and opt-out events for the retention period specified in Section 7, both to honor your preferences and to demonstrate compliance with applicable telecommunications regulations.

9d. Email Communications

If you have received marketing or informational email communications from West Industries and wish to unsubscribe, you may do so by clicking the “unsubscribe” or “opt-out” link included in the footer of each such email, or by emailing info@west-industries.com with your request. We will process your unsubscribe request promptly, typically within 10 business days. Please note that transactional emails directly related to your account, a contract in progress, or a legal obligation (such as invoice delivery or contractually required notices) may continue to be sent regardless of your marketing communication preferences, as these communications are necessary for the performance of our agreement with you.

9e. Cookie Preferences

You may manage your cookie preferences at any time through the cookie settings interface on our Website (where provided) or through your browser settings. To opt out of non-essential cookies, you may: (i) use the cookie consent management interface to withdraw or adjust your consent preferences; (ii) configure your browser to block or delete cookies as described in your browser’s privacy or security settings; or (iii) use the Google Analytics Opt-out Browser Add-on to disable Google Analytics tracking. Please be aware that disabling certain cookies may affect the functionality of our Website and your user experience.

10. Children’s Privacy

The Website and services of West Industries are not directed to, intended for, or designed to attract children under the age of 13. West Industries does not knowingly collect, solicit, or process personal information from children under the age of 13. The nature of our services — which include industrial manufacturing, connected device systems, and business-to-business client engagements — is inherently oriented toward adult business professionals and is not appropriate for use by minors.

We do not knowingly allow children under 13 to register for any account, submit any personal information through our contact forms, or enroll in any SMS or alert notification system operated by West Industries. If we become aware that we have inadvertently collected personal information from a child under 13 without verifiable parental consent, we will take prompt steps to delete such information from our records in accordance with the Children’s Online Privacy Protection Act (COPPA) and any other applicable law.

If you are a parent or guardian and you believe that your child under the age of 13 has provided personal information to West Industries without your consent, please contact us immediately at info@west-industries.com so that we may investigate and take appropriate corrective action. Please include in your communication sufficient detail about the information you believe may have been submitted so that we can locate and evaluate the relevant records.

11. Third-Party Links & Services

Our Website may contain hyperlinks to third-party websites, services, platforms, or resources that are not owned, operated, or controlled by West Industries. These links are provided for informational convenience only and do not constitute an endorsement, sponsorship, or affiliation with any linked third party. The inclusion of a link on our Website does not imply that West Industries approves of, is affiliated with, or has verified the content, privacy practices, or security measures of the linked site or service.

When you click on a link to a third-party website or service, you will be navigating away from our Website and will be subject to the privacy policy, terms of use, and data practices of that third party. West Industries has no control over, and assumes no responsibility for, the content, privacy policies, data collection practices, or security of any third-party websites or services. We encourage you to review the privacy policy of every third-party website you visit before providing any personal information.

This disclaimer also applies to any third-party widgets, social media buttons, embedded content, or plug-ins that may appear on our Website. Even if such elements appear within the visual framework of our Website, they are operated by the respective third-party providers, and any data collected through such elements is subject to those providers’ own privacy policies and data practices.

12. International Data Transfers

West Industries is headquartered in the United States, and the primary processing of personal information collected through our Website and services occurs within the United States. If you are accessing our Website or services from a location outside the United States — including from a country within the European Economic Area or the United Kingdom — please be aware that your personal information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those of your home jurisdiction.

In particular, the United States does not have a comprehensive federal data protection law equivalent to the GDPR, and personal information transferred to the United States may be subject to access by government authorities under applicable U.S. law. By providing personal information to West Industries, you acknowledge that your information may be transferred to and processed in the United States.

Where personal information is transferred from the EEA or UK to countries that the European Commission or UK Information Commissioner’s Office has not designated as providing an adequate level of data protection (including the United States in certain contexts), West Industries implements appropriate safeguards as required by the GDPR and UK GDPR to ensure that such transfers are lawful and that your personal information receives an adequate level of protection. These safeguards include:

  • Standard Contractual Clauses (SCCs): We rely on the Standard Contractual Clauses approved by the European Commission under Article 46(2)(c) of the GDPR for transfers of personal data from the EEA. For transfers from the UK, we use the UK International Data Transfer Addendum or equivalent approved safeguard as required by UK GDPR.
  • Processor Agreements: Where we engage third-party service providers who receive personal data transferred from the EEA or UK, those providers are required to execute data processing agreements incorporating appropriate transfer safeguards.
  • Data Minimization for Cross-Border Transfers: We limit the scope of personal information transferred internationally to that which is strictly necessary for the identified business purpose.

EEA and UK residents may request further information about the safeguards applicable to international data transfers involving their personal information by contacting West Industries at info@west-industries.com.

13. Changes to This Privacy Policy

West Industries reserves the right to update, modify, or replace this Privacy Policy at any time to reflect changes in our data practices, changes in applicable law or regulatory guidance, changes in our business operations or service offerings, or changes in technology that affect how we collect or use personal information. The revised Policy will be effective as of the date indicated in the “Effective Date” field at the top of this document.

Material Changes: Where changes to this Privacy Policy are material — meaning they significantly alter the nature of the data we collect, the purposes for which we use it, the parties with whom we share it, or your rights with respect to it — West Industries will make reasonable efforts to notify affected individuals in advance of the effective date of such changes. Notification methods may include: (i) posting a prominent notice on our Website; (ii) sending an email notification to individuals who have provided their email address and have an ongoing relationship with us; or (iii) providing in-application notification through any connected platform or service. The method of notification will be chosen based on what is reasonably practicable given the nature of the change and the data subject populations affected.

Continued Use as Acceptance: Your continued use of our Website or services following the effective date of any revised Privacy Policy constitutes your acceptance of the updated terms. If you do not agree to the terms of the revised Policy, you should discontinue your use of our Website and services and, if applicable, contact us to request deletion of your personal information in accordance with the rights described in Section 9.

Archived Versions: West Industries maintains an internal archive of prior versions of this Privacy Policy for reference and compliance purposes. If you would like to review a prior version of this Policy or have questions about changes that have been made, please contact us at info@west-industries.com and we will provide the relevant information to the extent reasonably practicable.

We encourage you to review this Privacy Policy periodically to stay informed about our data practices and your rights. The current version of this Policy is always available at https://west-industries.com/.
